Primary focus of this role is to manage and provide proactive operational and administration in the North Region to support to the GA Head. This role will work closely with departments and some management team to provide ad hoc support, as well as undertaking projects to assist teams in being able to focus on core tasks. Because this role requires a lot of coordinating between different groups of people, the abilities to understand and to solve problems are very important

Responsible for coordinating the administration of the business focused on the company goals and laying the right groundwork to accomplish them. Also supervise PHL offices and facility management projects throughout Central North to North regions to oversee the planning and delivery of renovation projects and ensure that work is completed on time with quality standard and within budget. The goal is to match business needs and to produce sustainable, functional and aesthetically pleasing projects and facility management services.

  • Be the main eye-and ear person to GA Head, anticipating and responding proactively to the demands of the business in the North Regions; able to identify the organization’s internal and external needs as well as develop and implement plan for to meet the goal.
  • Proactively manage general administration work including operation and function of the offices, working spaces.
  • Have a head for organization and logistics; Liaise with stakeholder and service professionals to arrange schedules and direct activities
  • Organize and maintain office operations and procedures; Commit to process improvement and ensure effective work practices are maintained
  • Coordinate office social events and company Town Hall meetings.
  • Supervise a wide range of office renovation projects from start to finish. Able organize and oversee construction procedures and ensure they are completed in a timely and efficient manner.
  • Determine and define scope of work and deliverables. Predict resources needed to complete project.
  • Conduct site visit for new or relocation offices to ensure meeting business requirement criteria and technical efficiencies.
  • Support in obtain permits and certificates related to property from appropriate authorities if needed.
  • Produce office project documentation such as layout, technical drawing and scope of work for bidding process.
  • Control project from start to finish to ensure high quality, innovative and functional applications.
  • Ensure that all works are carried out to specific standards, building codes, guidelines and regulations
  • Cooperate and liaise with construction professionals. Manages sub-contractors by locating, evaluating, and selecting sub-contractors; monitoring and controlling performance.
  • Monitoring the safety and cleanliness of interior and exterior areas, such as offices, conference rooms, and functional spaces
  • Scheduling routine inspections and emergency repairs with outside vendors
  • Maintaining day-to-day operations of facilities, such as delegating or completing maintenance orders
  • Collaborating with building owners/landlords and upper management on solutions for facilities needs.

Yêu cầu công việc

  • Bachelor degree in Architecture or Engineering
  • Have office management and construction background, especially in Life Insurance industry
  • Highly motivated and demonstrate an enthusiasm for achieving business objectives. Good communication and interpersonal skills with the ability to liaise with other associates and build effective relationships.
  • Strong technical skill in using project management program to produce layouts and construction documents. Able to identify quality vs. quantities in the project scope.
