Air Document Staff is responsible for implementing the tasks related to documentation in the general operation process of export cargoes.
► Follow regulations:
• Strictly follow the workflow, SOP, division’s KPI, individual’s KPI, work shift, and regulations in docs and quotation files.
• Align with other stations to implement the Documentation process, and SOP of the whole Country for each Customer.
► Collaboration:
• Coordinate with teammates, other divisions, and departments (Sales, BMT, Pricing, Procurement team, Terminal), and follow up with KWE overseas, and HQ in daily cargo handling.
• Contribute ideas to the Documentation Manager and the Documentation Supervisor in internal meetings to adjust SOP.
► Implementation of assigned duties:
• Provide HAWB number per shipment to the Business Marketing team by inputting it into the daily shipping plan.
• Contact customers to get SI or shipping docs (invoice, packing list).
• Input initial shipping information into UFS (based on customers’ SI or invoice, packing list).
• Issue the final HAWB, MAWB per weight slip provided by the terminal team.
• Send P/A to agents and final AWBS to shippers.
• Track and trace cargo after it departs from HAN and update related parties.
• Input suppliers’ costs in UFS, and create invoices for each shipment (except freight cost, and terminal cost.
• Declare AMS/ACI/FWB/FHL, input milestones correctly and timely.
• Hand over daily cargo management sheets to other shifts, and other divisions fully and timely.
• Solve all the matters related to nominated accounts.
► Reports:
• Make a report to the agents if requested.
• Escalate irregular cases immediately to the Documentation Supervisor, and the Documentation Manager to solve the issue timely.
► Email
• Monitor emails, reply to messages, and act on information relayed where necessary within 24 hours of the initial inquiry being received.
• Others as assigned.

Requisito de emprego

► Education and Experience
• Bachelor’s degree, preferred in Economics, International Trade, Foreign Trade, or related fields.
• 01 year of experience working in the Logistics industry or global forwarding companies, no prior experience are welcome to apply.
► Required Skills/Abilities:
• Good at Microsoft Office.
• Good verbal and written communication skills in both English and Vietnamese.
• Intermediate in English skill (4 skills).
• Good interpersonal and customer service skills.
• Good organizational skills and attention to detail.
• Strong self-motivation.
• Good time management skills.
► Working Conditions and Benefits:
• Working Place: TTC Building, No. 19, Duy Tan Street, Cau Giay Dist, Hanoi City
• Working time:

  • Shift 1: 8:00 - 17:00 Monday to Friday + 2 Saturdays of 1 month (8:00 - 17:00)
  • Shift 2: 14:00 - 21:35 Monday to Friday + 2 Saturdays of 1 month (8:00 - 17:00)

• Annual Leave: 12 days/year (after probation time)
• Net salary: Negotiable (13 months a year plus Tet bonus & Annual performance bonus)
• Annual Salary Increase: once per year
• Performance Assessment: twice per year (fixed in April and October)
• Insurance: 24 hours’ Accident Insurance, Social Insurance, Health Care Insurance
